Pre-Event

Site and Venues visits

A conference may need  several venues to host the conference and the social events. 

  1. Estimate your numbers ( delegates, guests etc) for the conference or social event.

  2. Consider what you need from the venue, space, break out rooms,lunches,dinners etc and its location.

  3. Consult our suppliers list for ideas.

  4. Identify several facilities as the possible venue.

  5. Prepare a request proposals and send these to the possible venues.

  6. Visit the venues where possible.

  7. Decide on which venue the conference will be held.

  8. Sign a contract with the venue there has been decided on.

  9. Inform all the other venues that they have not been chosen.

  10. Make the arrangements in EventsAIR for the venue.
