Delegate Services

Onsite Preperation

The Delegate services team will be required to go onsite for conferences. Depending on the size and location of the conference this will dictate how many people and the hours they are required to work.

In the weeks leading up to the conference some taks include but are not limited to:    

  1. Collating delegate material.     

  2. Putting together stationary boxes for the registration desk and any other items that we may need.     

  3. Signage.     

  4. Poster board numbers.    

  5. Holding slides.     

  6. Presentation slides.     

  7. Test laptops and label printers.     

  8. Any ad hock requests from the PM.

On conference days tasks include but are not limited to:    

  1. Looking after the registration desk, delegate enquiries, room management, Q&As, assisting delegates when moving between buildings/rooms.     

  2. Delegate enquiries.     

  3. Room set up and Management.    

  4. Q&A afterward session, Roving microphone.     

  5. Assisting delegates moving between different building/rooms.    

  6. Social events e.g. Drink receptions / Gala dinner including transportation, management when buses are booked for them. 

Post conference day    

  1. Ensuring all equipment is returned to the office and unpacked, restocked ready for the next conference.     

  2. Marking off no-shows in Event Airs.     

  3. Issuing Certificates of attendance where applicable.     

  4. Chasing any outstanding payments.
